A touch panel is a piece of equipment that lets users interact with a computer by touching the screen directly. Incorporating features into the monitor like sensors that detect touch actions makes it possible to issue instructions to a computer by having it sense the position of a finger or stylus. Essentially, it becomes a device fusing the two functions of display and input.

It"s perhaps not something we think of often, but touch panels have integrated themselves into every aspect of our lives. People who enjoy using digital devices like smartphones interact with touch panels all the time in everyday life—but so do others, at devices like bank ATMs, ticket vending machines in railway stations, electronic kiosks inside convenience stores, digital photo printers at mass merchandisers, library information terminals, photocopiers, and car navigation systems.

A major factor driving the spread of touch panels is the benefits they offer in the way of intuitive operation. Since they can be used for input through direct contact with icons and buttons, they"re easy to understand and easily used, even by people unaccustomed to using computers. Touch panels also contribute to miniaturization and simplification of devices by combining display and input into a single piece of equipment. Since touch panel buttons are software, not hardware, their interfaces are easily changed through software.

While a touch panel requires a wide range of characteristics, including display visibility above all, along with precision in position sensing, rapid response to input, durability, and installation costs, their characteristics differ greatly depending on the methods used to sense touch input. Some typical touch-panel sensing methods are discussed below.

As of 2010, resistive film represented the most widely used sensing method in the touch panel market. Touch panels based on this method are called pressure-sensitive or analog-resistive film touch panels. In addition to standalone LCD monitors, this technology is used in a wide range of small to mid-sized devices, including smartphones, mobile phones, PDAs, car navigation systems, and the Nintendo DS.

With this method, the position on screen contacted by a finger, stylus, or other object is detected using changes in pressure. The monitor features a simple internal structure: a glass screen and a film screen separated by a narrow gap, each with a transparent electrode film (electrode layer) attached. Pressing the surface of the screen presses the electrodes in the film and the glass to come into contact, resulting in the flow of electrical current. The point of contact is identified by detecting this change in voltage.

The advantages of this system include the low-cost manufacture, thanks to its simple structure. The system also uses less electricity than other methods, and the resulting configurations are strongly resistant to dust and water since the surface is covered in film. Since input involves pressure applied to the film, it can be used for input not just with bare fingers, but even when wearing gloves or using a stylus. These screens can also be used to input handwritten text.

Drawbacks include lower light transmittance (reduced display quality) due to the film and two electrode layers; relatively lower durability and shock resistance; and reduced precision of detection with larger screen sizes. (Precision can be maintained in other ways—for example, splitting the screen into multiple areas for detection.)

Capacitive touch panels represent the second most widely used sensing method after resistive film touch panels. Corresponding to the terms used for the above analog resistive touch panels, these also are called analog capacitive touch panels. Aside from standalone LCD monitors, these are often used in the same devices with resistive film touch panels, such as smartphones and mobile phones.

With this method, the point at which the touch occurs is identified using sensors to sense minor changes in electrical current generated by contact with a finger or changes in electrostatic capacity (load). Since the sensors react to the static electrical capacity of the human body when a finger approaches the screen, they also can be operated in a manner similar to moving a pointer within an area touched on screen.

Two types of touch panels use this method: surface capacitive touch panels and projective capacitive touch panels. The internal structures differ between the two types.

Surface capacitive touch panels are often used in relatively large panels. Inside these panels, a transparent electrode film (electrode layer) is placed atop a glass substrate, covered by a protective cover. Electric voltage is applied to electrodes positioned in the four corners of the glass substrate, generating a uniform low-voltage electrical field across the entire panel. The coordinates of the position at which the finger touches the screen are identified by measuring the resulting changes in electrostatic capacity at the four corners of the panel.

While this type of capacitive touch panel has a simpler structure than a projected capacitive touch panel and for this reason offers lower cost, it is structurally difficult to detect contact at two or more points at the same time (multi-touch).

Projected capacitive touch panels are often used for smaller screen sizes than surface capacitive touch panels. They"ve attracted significant attention in mobile devices. The iPhone, iPod Touch, and iPad use this method to achieve high-precision multi-touch functionality and high response speed.

The internal structure of these touch panels consists of a substrate incorporating an IC chip for processing computations, over which is a layer of numerous transparent electrodes is positioned in specific patterns. The surface is covered with an insulating glass or plastic cover. When a finger approaches the surface, electrostatic capacity among multiple electrodes changes simultaneously, and the position were contact occurs can be identified precisely by measuring the ratios between these electrical currents.

A unique characteristic of a projected capacitive touch panel is the fact that the large number of electrodes enables accurate detection of contact at multiple points (multi-touch). However, the projected capacitive touch panels featuring indium-tin-oxide (ITO) found in smartphones and similar devices are poorly suited for use in large screens, since increased screen size results in increased resistance (i.e., slower transmission of electrical current), increasing the amount of error and noise in detecting the points touched.

Larger touch panels use center-wire projected capacitive touch panels in which very thin electrical wires are laid out in a grid as a transparent electrode layer. While lower resistance makes center-wire projected capacitive touch panels highly sensitive, they are less suited to mass production than ITO etching.

Above, we"ve summarized the differences between the two types of capacitive touch panels. The overall characteristics of such panels include the fact that unlike resistive film touch panels, they do not respond to touch by clothing or standard styli. They feature strong resistance to dust and water drops and high durability and scratch resistance. In addition, their light transmittance is higher, as compared to resistive film touch panels.

On the other hand, these touch panels require either a finger or a special stylus. They cannot be operated while wearing gloves, and they are susceptible to the effects of nearby metal structures.

Surface acoustic wave (SAW) touch panels were developed mainly to address the drawbacks of low light transmittance in resistive film touch panels—that is, to achieve bright touch panels with high levels of visibility. These are also called surface wave or acoustic wave touch panels. Aside from standalone LCD monitors, these are widely used in public spaces, in devices like point-of-sale terminals, ATMs, and electronic kiosks.

These panels detect the screen position where contact occurs with a finger or other object using the attenuation in ultrasound elastic waves on the surface. The internal structure of these panels is designed so that multiple piezoelectric transducers arranged in the corners of a glass substrate transmit ultrasound surface elastic waves as vibrations in the panel surface, which are received by transducers installed opposite the transmitting ones. When the screen is touched, ultrasound waves are absorbed and attenuated by the finger or other object. The location is identified by detecting these changes. Naturally, the user does not feel these vibrations when touching the screen. These panels offer high ease of use.

The strengths of this type of touch panel include high light transmittance and superior visibility, since the structure requires no film or transparent electrodes on the screen. Additionally, the surface glass provides better durability and scratch resistance than a capacitive touch panel. Another advantage is that even if the surface does somehow become scratched, the panel remains sensitive to touch. (On a capacitive touch panel, surface scratches can sometimes interrupt signals.) Structurally, this type of panel ensures high stability and long service life, free of changes over time or deviations in position.

Weak points include compatibility with only fingers and soft objects (such as gloves) that absorb ultrasound surface elastic waves. These panels require special-purpose styluses and may react to substances like water drops or small insects on the panel.

All in all, however, these touch panels offer relatively few drawbacks. Recent developments such as improvements in manufacturing technology are also improving their cost-performance.

The category of optical touch panels includes multiple sensing methods. The number of products employing infrared optical imaging touch panels based on infrared image sensors to sense position through triangulation has grown in recent years, chiefly among larger panels.

A touch panel in this category features one infrared LED each at the left and right ends of the top of the panel, along with an image sensor (camera). Retroreflective tape that reflects incident light along the axis of incidence is affixed along the remaining left, right, and bottom sides. When a finger or other object touches the screen, the image sensor captures the shadows formed when the infrared light is blocked. The coordinates of the location of contact are derived by triangulation.

While this type differs somewhat from the above touch panels, let"s touch on the subject of electromagnetic induction touch panels. This method is used in devices like LCD graphics tablets, tablet PCs, and purikura photo sticker booths.

This input method for graphics tablets, which originally did not feature monitors, achieves high-precision touch panels by combining a sensor with the LCD panel. When the user touches the screen with a special-purpose stylus that generates a magnetic field, sensors on the panel receive the electromagnetic energy and use it to sense the position of the pen.

Since a special-purpose stylus is used for input, input using a finger or a general-purpose stylus is not possible, and the method has limited applications. Still, this has both good and bad points. It eliminates input errors due to the surrounding environment or unintended screen manipulation. Since the technology was intended for use in graphics tablets, it offers superior sensor precision—making it possible, for example, to change line width smoothly by precisely sensing the pressure with which the stylus is pressed against the screen (electrostatic capacity). This design approach also gives the screen high light transmittance and durability.

The table below summarizes the characteristics of the touch panels we"ve looked at. Keep in mind that even in devices based on the same sensing method, performance and functions can vary widely in the actual products. Use this information only as an introduction to general product characteristics. Additionally, given daily advances in touch-panel technological innovations and cost reductions, the information below is only a snapshot of current trends as of September 2010.

Each touch-panel type offers its own strengths and weaknesses. No single sensing method currently offers overwhelming superiority in all aspects. Choose a product after considering the intended use and environmental factors.

Ever since OnePlus popularized them, high refresh rate displays have become commonplace in the smartphone industry. As a result, buyers today actively seek out faster displays when buying a new phone to get a smoother experience.

But there"s another important feature that doesn"t get enough attention: touch sampling rate. This article will discuss what touch sampling rate is, why it matters, and how it differs from refresh rate.

Touch sampling rate (sometimes referred to as response rate) is the frequency at which your phone"s display reads your input. In other words, it"s the number of times the display registers your touch. The faster the touch sampling rate, the more sensitive the display.

This increased sensitivity allows the screen to minimize gaps when reading your touch input, so it can respond more accurately and give a smoother experience. This is particularly useful for mobile gaming since a delay of a few milliseconds can sometimes be the difference between winning and losing.

As of February 2022, the phone with the highest touch sampling rate is the Legion Phone Duel 2 with 720Hz. While that"s impressive, we"ve already heard rumors about the iQOO Neo5 set to launch with a 1000Hz touch sampling rate display.

While touch sampling rate means how fast the screen reads your input, refresh rate means how fast it shows the changing pixels. The former is about sensitivity; the latter is about simulating motion. The faster the refresh rate, the more fluid the animations on the screen appear.

Today, a refresh rate of at least 90Hz is common for mid-range and even some budget phones, while flagships and gaming phones usually come with a 120Hz refresh rate. The difference between 60Hz and 90Hz feels more prominent than the difference between 90Hz and 120Hz.

Unlike touch sampling rate, refresh rate is an immediately apparent feature that users can see. Because of this, it makes for better marketing material for companies. Hence, a higher refresh rate is more common than a higher touch sampling rate.

There are currently 20+ phones with a refresh rate of 144Hz, including the ASUS ROG Phone 3 and the Xiaomi Mi 10T, and 150+ phones with 120Hz, including the Huawei P50 Pro, OnePlus 9 and 9 Pro, and the Samsung Galaxy S21 range. Unless you"re a gamer or power user, a refresh rate of 90Hz should be good enough for daily use. But after 120Hz, the difference in refresh rate is not as noticeable and therefore starts to become redundant.

Modern smartphones are already packed with good specs, so it"s rare that you"ll ever face issues with either touch sampling or refresh rate. That said, a higher refresh rate is still a better deal for most people because it makes your phone feel faster by enhancing visual animations.

Although important, a higher touch sampling rate is not immediately apparent. For gaming, both the features work cooperatively to deliver a smooth experience. A high refresh rate without a high touch sampling rate will make it feel like your phone is lagging—interrupting the gaming experience.

For an all-around experience, you want a phone with at least a 90Hz refresh rate and a 240Hz touch sampling rate. This will ensure that your phone works well no matter the task you"re doing.

Protect content in Office apps across different platforms and devices. Supported by Word, Excel, PowerPoint, and Outlook on the Office desktop apps and Office on the web. Supported on Windows, macOS, iOS, and Android.

Protect content in third-party apps and services by using Microsoft Defender for Cloud Apps. With Defender for Cloud Apps, you can detect, classify, label, and protect content in third-party apps and services, such as SalesForce, Box, or DropBox, even if the third-party app or service does not read or support sensitivity labels.

Protect containers that include Teams, Microsoft 365 Groups, and SharePoint sites. For example, set privacy settings, external user access and external sharing, and access from unmanaged devices.

Protect meetings and chat (in preview) by labeling (and optionally, encrypting) meeting invites and any responses, and enforce Teams-specific options for the meeting and chat.

Extend sensitivity labels to Power BI: When you turn on this capability, you can apply and view labels in Power BI, and protect data when it"s saved outside the service.

Extend sensitivity labels to assets in Microsoft Purview Data Map: When you turn on this capability, currently in preview, you can apply your sensitivity labels to files and schematized data assets in Microsoft Purview Data Map. The schematized data assets include SQL, Azure SQL, Azure Synapse, Azure Cosmos DB, and AWS RDS.

Extend sensitivity labels to third-party apps and services. Using the Microsoft Information Protection SDK, third-party apps can read sensitivity labels and apply protection settings.

Label content without using any protection settings. You can also simply apply a label as a result of identifying the sensitivity of the data. This provides users with a visual mapping of your organization"s data sensitivity, and can use the labels to generate usage reports and see activity data for data that has different levels of sensitivity. Based on this information, you can always choose to apply protection settings later.

In all these cases, sensitivity labels from Microsoft Purview can help you take the right actions on the right content. With sensitivity labels, you can identify the sensitivity of data across your organization, and the label can enforce protection settings that are appropriate for the sensitivity of that data. That protection then stays with the content.

Customizable. Specific to your organization and business needs, you can create categories for different levels of sensitive content in your organization. For example, Personal, Public, General, Confidential, and Highly Confidential.

Clear text. Because a label is stored in clear text in the metadata for files and emails, third-party apps and services can read it and then apply their own protective actions, if required.

Persistent. Because the label is stored in metadata for files and emails, the label stays with the content, no matter where it"s saved or stored. The unique label identification becomes the basis for applying and enforcing policies that you configure.

When viewed by users in your organization, a sensitivity label appears like a tag on apps that they use and can be easily integrated into their existing workflows.

Each item that supports sensitivity labels can have a single sensitivity label applied to it. Documents and emails can have both a sensitivity label and a retention label applied to them.

After a sensitivity label is applied to an email, meeting invite (in preview), or document, any configured protection settings for that label are enforced on the content. You can configure a sensitivity label to:

Encrypt emails, meeting invites, and documents to prevent unauthorized people from accessing this data. You can additionally choose which users or group have permissions to perform which actions and for how long. For example, you can choose to allow all users in your organization to modify a document while a specific group in another organization can only view it. Alternatively, instead of administrator-defined permissions, you can allow your users to assign permissions to the content when they apply the label.

Mark the content when you use Office apps, by adding watermarks, headers, or footers to email, meeting invites, or documents that have the label applied. Watermarks can be applied to documents but not email or meeting invites. Example header and watermark:

Dynamic markings are also supported by using variables. For example, insert the label name or document name into the header, footer, or watermark. For more information, see Dynamic markings with variables.

If you have templates or workflows that are based on specific documents, test those documents with your chosen content markings before you make the label available for users. Some string length restrictions to be aware of:

Watermarks are limited to 255 characters. Headers and footers are limited to 1024 characters, except in Excel. Excel has a total limit of 255 characters for headers and footers but this limit includes characters that aren"t visible, such as formatting codes. If that limit is reached, the string you enter is not displayed in Excel.

Protect content in containers such as sites and groups when you enable the capability to use sensitivity labels with Microsoft Teams, Microsoft 365 groups, and SharePoint sites.

You can"t configure protection settings for groups and sites until you enable this capability. This label configuration doesn"t result in documents or emails being automatically labeled but instead, the label settings protect content by controlling access to the container where content can be stored. These settings include privacy settings, external user access and external sharing, and access from unmanaged devices.

Apply the label automatically to files and emails, or recommend a label. Choose how to identify sensitive information that you want labeled, and the label can be applied automatically, or you can prompt users to apply the label that you recommend. If you recommend a label, the prompt displays whatever text you choose. For example:

Set the default sharing link type for SharePoint sites and individual documents. To help prevent users oversharing, set the default scope and permissions for when users share documents from SharePoint and OneDrive.

This scope configuration lets you have sensitivity labels that are just for items such as documents and emails, and can"t be selected for containers. And similarly, sensitivity labels that are just for containers and can"t be selected for documents and emails. You can also select the scope for schematized data assets for Microsoft Purview Data Map:

By default, the Items scope (previously named Files & emails) is always selected. Optionally, include meetings with this scope for calendar events, Teams meetings options, and Team chat. The other scopes are selected by default when the features are enabled for your tenant:

If you change the defaults so not all scopes are selected, you see the first page of the configuration settings for scopes you haven"t selected, but you can"t configure the settings. For example, if the scope for items isn"t selected, you can"t select the options on the next page:

When you create your sensitivity labels in the Microsoft Purview compliance portal, they appear in a list on the Sensitivity tab on the Labels page. In this list, the order of the labels is important because it reflects their priority. You want your most restrictive sensitivity label, such as Highly Confidential, to appear at the bottom of the list, and your least restrictive sensitivity label, such as Public, to appear at the top.

You can apply just one sensitivity label to an item such as a document, email, or container. If you set an option that requires your users to provide a justification for changing a label to a lower classification, the order of this list identifies the lower classifications. However, this option does not apply to sublabels that share the priority of their parent label.

The ordering of sublabels is used with automatic labeling, though. When you configure auto-labeling policies, multiple matches can result for more than one label. Then, the last sensitive label is selected, and then if applicable, the last sublabel. When you configure sublabels themselves (rather than auto-labeling policies) for automatic or recommended labeling, the behavior is a little different when sublabels share the same parent label. For example, a sublabel configured for automatic labeling is preferred over a sublabel configured for recommended labeling. For more information, see How multiple conditions are evaluated when they apply to more than one label.

With sublabels, you can group one or more labels below a parent label that a user sees in an Office app. For example, under Confidential, your organization might use several different labels for specific types of that classification. In this example, the parent label Confidential is simply a text label with no protection settings, and because it has sublabels, it can"t be applied to content. Instead, users must choose Confidential to view the sublabels, and then they can choose a sublabel to apply to content.

Sublabels are simply a way to present labels to users in logical groups. Sublabels don"t inherit any settings from their parent label, except for their label color. When you publish a sublabel for a user, that user can then apply that sublabel to content and containers, but can"t apply just the parent label.

Don"t choose a parent label as the default label, or configure a parent label to be automatically applied (or recommended). If you do, the parent label can"t be applied.

If you delete a sensitivity label from the admin portal, the label is not automatically removed from content, and any protection settings continue to be enforced on content that had that label applied.

After you create your sensitivity labels, you need to publish them to make them available to people and services in your organization. The sensitivity labels can then be applied to Office documents and emails, and other items that support sensitivity labels.

Unlike retention labels, which are published to locations such as all Exchange mailboxes, sensitivity labels are published to users or groups. Apps that support sensitivity labels can then display them to those users and groups as applied labels, or as labels that they can apply.

Choose which users and groups see the labels. Labels can be published to any specific user or email-enabled security group, distribution group, or Microsoft 365 group (which can have dynamic membership) in Azure AD.

Specify a default label for unlabeled documents, emails and meeting invites, new containers (when you"ve enabled sensitivity labels for Microsoft Teams, Microsoft 365 groups, and SharePoint sites), and also a default label for Power BI content. You can specify the same label for all five types of items, or different labels. Users can change the applied default sensitivity label to better match the sensitivity of their content or container.

Default labeling for existing documents is newly supported for built-in labeling for Office apps. For more information about the rollout per app and minimum versions, see the capabilities table for Word, Excel, and PowerPoint.

Consider using a default label to set a base level of protection settings that you want applied to all your content. However, without user training and other controls, this setting can also result in inaccurate labeling. It"s usually not a good idea to select a label that applies encryption as a default label to documents. For example, many organizations need to send and share documents with external users who might not have apps that support the encryption or they might not use an account that can be authorized. For more information about this scenario, see Sharing encrypted documents with external users.

Require a justification for changing a label. If a user tries to remove a label or replace it with a label that has a lower-order number, you can require the user provides a justification to perform this action. For example, a user opens a document labeled Confidential (order number 3) and replaces that label with one named Public (order number 1). For Office apps, this justification prompt is triggered once per app session when you use built-in labeling, and per file when you use the Azure Information Protection unified labeling client. Administrators can read the justification reason along with the label change in activity explorer.

Require users to apply a label for the different types of items and the containers that support sensitivity labels. Also known as mandatory labeling, these options ensure a label must be applied before users can save documents and send emails or meeting invites, create new groups or sites, and when they use unlabeled content for Power BI.

For documents and emails, a label can be assigned manually by the user, automatically as a result of a condition that you configure, or be assigned by default (the default label option previously described). An example prompt when a user is required to assign a label:

Consider using this option to help increase your labeling coverage. However, without user training, these settings can result in inaccurate labeling. In addition, unless you also set a corresponding default label, mandatory labeling can frustrate your users with the frequent prompts.

Provide help link to a custom help page. If your users aren"t sure what your sensitivity labels mean or how they should be used, you can provide a Learn More URL that appears at the bottom of the Sensitivity label menu in the Office apps:

After you create a label policy that assigns new sensitivity labels to users and groups, users start to see those labels in their Office apps. Allow up to 24 hours for the latest changes to replicate throughout your organization.

There is no limit to the number of sensitivity labels that you can create and publish, with one exception: If the label applies encryption that specifies the users and permissions, there is a maximum of 500 labels supported with this configuration. However, as a best practice to lower admin overheads and reduce complexity for your users, try to keep the number of labels to a minimum. Real-world deployments have proved effectiveness to be noticeably reduced when users have more than five main labels or more than five sublabels per main label.

You make your sensitivity labels available to users by publishing them in a sensitivity label policy that appears in a list on the Label policies page. Just like sensitivity labels (see Label priority (order matters)), the order of the sensitivity label policies is important because it reflects their priority: The label policy with lowest priority is shown at the top of the list with the lowest order number, and the label policy with the highest priority is shown at the bottom of the list with the highest order number.

You can include a user in multiple label policies, and the user will get all the sensitivity labels and settings from those policies. If there is a conflict in settings from multiple policies, the settings from the policy with the highest priority (highest order number) is applied. In other words, the highest priority wins for each setting.

If you"re not seeing the label policy setting behavior that you expect for a user or group, check the order of the sensitivity label policies. You might need to move the policy down. To reorder the label policies, select a sensitivity label policy > choose the Actions ellipsis for that entry > Move down or Move up. For example:

From our screenshot example that shows three label policies, all users are assigned the standard label policy, so it"s appropriate that it has the lowest priority (lowest order number of 0). Only users in the IT department are assigned the second policy that has the order number 1. For these users, if there are any conflicts in settings between their policy and the standard policy, the settings from their policy wins because it has a higher order number.

Similarly for users in the legal department, who are assigned the third policy with distinct settings. It"s likely that these users will have more stringent settings, so it"s appropriate that their policy has the highest order number. It"s unlikely that a user from the legal department will be in a group that"s also assigned to the policy for the IT department. But if they are, the order number 2 (highest order number) ensures that the settings from the legal department always take priority if there"s a conflict.

Remember: If there is a conflict of settings for a user who has multiple policies assigned to them, the setting from the assigned policy with the highest order number is applied.

The sensitivity labels that are built into Microsoft 365 Apps on Windows, macOS, iOS, and Android look and behave very similarly across these devices to provide users with a consistent labeling experience. However, on Windows computers, you can also use the Azure Information Protection (AIP) client. The AIP Office add-in component from this client is now in maintenance mode and when installed, is no longer the default labeling client for the latest Office apps.

If you"re using the AIP add-in for labeling in Office apps, we recommend you move to built-in labeling. For more information, see Migrate the Azure Information Protection (AIP) add-in to built-in labeling for Office apps.

Label management for Azure Information Protection labels in the Azure portal was deprecated March 31, 2021. Learn more from the official deprecation notice.

If your tenant isn"t yet on the unified labeling platform, you must first activate unified labeling before you can use sensitivity labels. For instructions, see How to migrate Azure Information Protection labels to unified sensitivity labels.

Because a sensitivity label is stored in the metadata of a document, third-party apps and services can read from and write to this labeling metadata to supplement your labeling deployment. Additionally, software developers can use the Microsoft Information Protection SDK to fully support labeling and encryption capabilities across multiple platforms. When you have published sensitivity labels from the Microsoft Purview compliance portal, they start to appear in Office apps for users to classify and protect data as it"s created or edited.

Use the information in this article to help you successfully manage sensitivity labels in Office apps. For example, identify the minimum versions of apps you need for features that are specific to built-in labeling, any additional configuration information for these features, and understand interactions with the Azure Information Protection unified labeling client and other apps and services.

To use sensitivity labels that are built into Office desktop apps for Windows and Mac, you must use a subscription edition of Office. This labeling client doesn"t support standalone editions of Office, sometimes called "Office Perpetual".

The Azure Information Protection (AIP) add-in component from the Azure Information Protection unified labeling client is now in maintenance mode. If you currently use this add-in for labeling in Office apps, we recommend you move to built-in labeling. For more information, see Migrate the Azure Information Protection (AIP) add-in to built-in labeling for Office apps.

The following tables list the minimum Office version that introduced specific capabilities for sensitivity labels built in to Office apps. Or, if the label capability is in public preview or under review for a future release:

New versions of Office apps are made available at different times for different update channels. For Windows, you"ll get the new capabilities earlier when you are on the Current Channel or Monthly Enterprise Channel, rather than Semi-Annual Enterprise Channel. The minimum version numbers can also be different from one update channel to the next. For more information, see Overview of update channels for Microsoft 365 Apps and Update history for Microsoft 365 Apps.

New capabilities that are in private preview are not included in the tables but you might be able to join these previews by nominating your organization for the Microsoft Information Protection private preview program.

When you compare the minimum versions in the tables with the versions you have, remember the common practice of release versions to omit leading zeros.

For example, you have version 4.2128.0 and read that 4.7.1+ is the minimum version. For easier comparison, read 4.7.1 (no leading zeros) as 4.0007.1 (and not 4.7000.1). Your version of 4.2128.0 is higher than 4.0007.1, so your version is supported.

If users have the Azure Information Protection (AIP) client installed on their Windows computers, built-in labels are the new default for the latest Windows Office apps that support labeling. Because built-in labels don"t use an Office add-in, as used by the AIP client, they have the benefit of more stability and better performance. They also support the latest features, such as advanced classifiers.

If you"re not seeing the labeling features you expect on Windows computers, despite confirming the minimum supported versions for your Office update channel, it might be because you need to disable the AIP add-in for older versions of Office.

To use the Office built-in labeling client, you must have one or more label policies published to users from the Microsoft Purview compliance portal, and a supported version of Office.

If you later need to revert this configuration, change the value to 1. You might also need to change this value to 1 if the Sensitivity button isn"t displayed on the ribbon as expected. For example, a previous administrator turned this labeling setting off.

Deploy this setting by using Group Policy, or by using the Cloud Policy service for Microsoft 365. The setting takes effect when these Office apps restart.

Because this setting is specific to Windows Office apps, it has no impact on other apps on Windows that support sensitivity labels (such as Power BI) or other platforms (such as macOS, mobile devices, and Office for the web). If you don"t want some or all users to see and use sensitivity labels across all apps and all platforms, don"t assign a sensitivity label policy to those users.

Generally, Office apps that have built-in labeling for Word, Excel, and PowerPoint files support the Open XML format (such as .docx and .xlsx) but not the Microsoft Office 97-2003 format (such as .doc and .xls), Open Document Format (such as .odt and .ods), or other formats. When a file type is not supported for built-in labeling, the Sensitivity button is not available in the Office app.

For specific file types supported for SharePoint and OneDrive when these services are enabled for sensitivity labels, see Enable sensitivity labels for Office files in SharePoint and OneDrive.

The Azure Information Protection unified labeling client supports both the Open XML format and the Microsoft Office 97-2003 format. For more information, see File types supported by the Azure Information Protection unified labeling client from that client"s admin guide.

Administrator-defined protection templates, such as those you define for Microsoft Purview Message Encryption, aren"t visible in Office apps when you"re using built-in labeling. This simplified experience reflects that there"s no need to select a protection template, because the same settings are included with sensitivity labels that have encryption enabled.

Sensitivity labels that you configure to apply encryption remove the complexity from users to specify their own encryption settings. In many Office apps, these individual encryption settings can still be manually configured by users by using Information Rights Management (IRM) options. For example, for Windows apps:

A user applies the Confidential \ All Employees label to a document and this label is configured to apply encryption settings for all users in the organization. This user then manually configures the IRM settings to restrict access to a user outside your organization. The end result is a document that"s labeled Confidential \ All Employees and encrypted, but users in your organization can"t open it as expected.

A user applies the Confidential \ Recipients Only label to an email and this email is configured to apply the encryption setting of Do Not Forward. In the Outlook app, this user then manually selects the IRM setting for Encrypt-Only. The end result is that while the email does remain encrypted, it can be forwarded by recipients, despite having the Confidential \ Recipients Only label.

As an exception, for Outlook on the web, the options from the Encrypt menu aren"t available for a user to select when the currently selected label applies encryption.

A user applies the General label to a document, and this label isn"t configured to apply encryption. This user then manually configures the IRM settings to restrict access to the document. The end result is a document that"s labeled General but that also applies encryption so that some users can"t open it as expected.

If the document or email is already labeled, a user can do any of these actions if the content isn"t already encrypted, or they have the usage right Export or Full Control.

Instead of users manually removing encryption after selecting a label that applies encryption, provide a sublabel alternative when users need a label with the same classification, but no encryption. Such as:

If users manually remove encryption from a labeled document that"s stored in SharePoint or OneDrive and you"ve enabled sensitivity labels for Office files in SharePoint and OneDrive, the label encryption will be automatically restored the next time the document is accessed or downloaded.

When a document has been encrypted with administrator-defined permissions, the encryption policy is embedded in the document. This happens independently from labeling. For example, when an Office attachment inherits encryption from an email message, or a user has applied a protection template by using Information Rights Management (IRM) in their Office app. If a sensitivity label in the tenant matches that same encryption policy, Office apps will automatically assign that matching label to the document.

In this scenario, the matching sensitivity label can label an unlabeled document, and replace an existing label that doesn"t apply encryption. For example, the General label is replaced with Confidential / All Employees. Content markings from the matching label aren"t automatically applied, unless the document was previously unlabeled and you"re using the AIP Add-in.

However, you will also see this behavior with a labeling scenario for email and meetings attachments when they are opened by the recipient. For example:

The label applies encryption with permissions that are set by the administrator, rather than the Do Not Forward or Encrypt-Only options. For example, for the label configuration, the admin selects Assign permissions now, and specifies all employees have read access.

When a recipient in the same tenant opens the encrypted document, a matching label for the admin-defined permissions is automatically displayed for the document, and persists if the document is saved.

Encryption-based label matching works only within the tenant, for admin-defined permissions, and the matching sensitivity label must be published to the user who opens the document. The matching label persists if the document is saved.

With RMS-enlightened apps: If you open a labeled and encrypted document or email in an RMS-enlightened application that doesn"t support sensitivity labels, the app still enforces encryption and rights management.

With the Azure Information Protection client: You can view and change sensitivity labels that you apply to documents and emails with the Office built-in labeling client by using the Azure Information Protection client, and the other way around.

With other versions of Office: Any authorized user can open labeled documents and emails in other versions of Office. However, you can only view or change the label in supported Office versions or by using the Azure Information Protection client. Supported Office app versions are listed in the previous section.

To use the Office built-in labeling client with Office on the web for documents in SharePoint or OneDrive, make sure you"ve enabled sensitivity labels for Office files in SharePoint and OneDrive.

When you label a document or email, the label is stored as metadata that includes your tenant and a label GUID. When a labeled document or email is opened by an Office app that supports sensitivity labels, this metadata is read and only if the user belongs to the same tenant, the label displays in their app. For example, for built-in labeling for Word, PowerPoint, and Excel, the label name displays on the status bar.

This means that if you share documents with another organization that uses different label names, each organization can apply and see their own label applied to the document. However, the following elements from an applied label are visible to users outside your organization:

Content markings. When a label applies a header, footer, or watermark, these are added directly to the content and remain visible until somebody modifies or deletes them.

The name and description of the underlying protection template from a label that applied encryption. This information displays in a message bar at the top of the document, to provide information about who is authorized to open the document, and their usage rights for that document.

Although you can restrict access to users in your own organization, you can also extend access to any other user who has an account in Azure Active Directory (Azure AD). By default, these external users will be authenticated without any additional configuration. However, there might be additional configuration required for Azure AD External Identities cross-tenant access settings and Conditional Access.

If external users don"t have an account in Azure AD, they can authenticate by using guest accounts in your tenant. These guest accounts can also be used to access shared documents in SharePoint or OneDrive when you have enabled sensitivity labels for Office files in SharePoint and OneDrive.

Solutions that apply sensitivity labels to files outside Office apps do so by applying labeling metadata to the file. In this scenario, content marking from the label"s configuration isn"t inserted into the file but encryption is applied.

When those files are opened in an Office desktop app, the content markings are automatically applied by the Azure Information Protection unified labeling client when the file is first saved. The content markings are not automatically applied when you use built-in labeling for desktop, mobile, or web apps.

For these scenarios, using their Office apps, a user with built-in labeling can apply the label"s content markings by temporarily removing or replacing the current label and then reapplying the original label.

If your Office apps don"t support this capability, they apply the markings as the original text specified in the label configuration, rather than resolving the variables.

The Azure Information Protection unified labeling client supports dynamic markings. For labeling built in to Office, see the tables in the capabilities section on this page for minimum versions supported.

When you configure a sensitivity label for content markings, you can use the following variables in the text string for your header, footer, or watermark:

Date and time when the content is labeled, in the local time zone of the user applying the label in Microsoft 365 apps, or UTC (Coordinated Universal Time) for Office Online and auto-labeling policies

As an additional variable, you can configure visual markings per Office application type by using an "If.App" variable statement in the text string, and identify the application type by using the values Word, Excel, PowerPoint, or Outlook. You can also abbreviate these values, which is necessary if you want to specify more than one in the same If.App statement.

In Word document headers only, the label applies the header text "This Word document is sensitive". No header text is applied to other Office applications.

In Word, Excel, and Outlook, the label applies the footer text "This content is confidential." In PowerPoint, the label applies the footer text "This presentation is confidential."

In Word and PowerPoint, the label applies the watermark text "This content is Confidential". In Excel, the label applies the watermark text "Confidential". In Outlook, the label doesn"t apply any watermark text because watermarks as visual markings are not supported for Outlook.

The Azure Information Protection unified labeling client supports this configuration that"s also known as mandatory labeling. For labeling built in to Office apps, see the tables in the capabilities section on this page for minimum versions.

To use mandatory labeling for documents but not emails, see the instructions in the next section that explains how to configure Outlook-specific options.

When the policy setting Require users to apply a label to their email and documents is selected, users assigned the policy must select and apply a sensitivity label under the following scenarios:

When users are prompted to add a sensitivity label because they open an unlabeled document, they can add a label or choose to open the document in read-only mode.

When mandatory labeling is in effect, the print to PDF option will be unavailable when a document is labeled or encrypted. For more information, see the PDF support section on this page.

The default label always takes priority over mandatory labeling. However, for documents, the Azure Information Protection unified labeling client applies the default label to all unlabeled documents whereas built-in labeling applies the default label to new documents and not to existing documents that are unlabeled. This difference in behavior means that when you use mandatory labeling with the default label setting, users will probably be prompted to apply a sensitivity label more often when they use built-in labeling than when they use the Azure Information Protection unified labeling client.

Now rolling out: Office apps that use built-in labeling and support a default label for existing documents. For details, see the capabilities table for Word, Excel, and PowerPoint.

For built-in labeling, identify the minimum versions of Outlook that support these features by using the capabilities table for Outlook on this page, and the row Different settings for default label and mandatory labeling. All versions of the Azure Information Protection unified labeling client support these Outlook-specific options.

In the label policy configuration from the Microsoft Purview compliance portal, on the Apply a default label to emails page: You can specify your choice of sensitivity label that will be applied to all unlabeled emails, or no default label. This setting is independent from the Apply this label by default to documents setting on the previous Policy settings for documents page of the configuration.

When the Outlook app doesn"t support a default label setting that"s different from the default label setting for documents: Outlook will always use the value you specify for Apply this label b
